Having flexible software, such as that in AltoSites – our facilities management software, means we can help our users in many ways. This includes managing asbestos in premises.

After reviewing HSG227 “A comprehensive guide to managing asbestos in premises” and Material assessment algorithms in Appendix 4 of HSG264 “Asbestos: The survey guide” we spoke to our users who were interested in exploring better ways of managing asbestos in premises across one or more sites. We then set about configuring AltoSites.

Configuration involves understanding, first of all, what outcomes did our users want from AltoSites. Only by understanding the outcomes can you understand what asbestos data and other data is needed to support them.

Starting with the desired outcomes not the asbestos data

To flesh these out we went through:

  • What decisions do users need to take?
  • What are the key pieces of information needed?
  • How can information be best presented to make it easy to understand and quick to action?
  • What current processes can be replaced or improved to save time and money?
  • What standard features in AltoSites can add-value to drive better outcomes?

Going back to the future – the asbestos data

With this information in mind – the real-life goals we’re delivering – it was time to go back to the future and the start of the process. This involved configuring the software to store the base asbestos survey data and then other data needed to drive the anticipated better outcomes.

Once the the core asbestos survey data was in AltoSites it could automatically calculate the material assessment and priority assessment scores.

Managing asbestos in premises – taking action

For those users using the AltoSites asset database the asbestos data can be linked directly to assets. If not, then the asbestos data is managed ‘as is’. In both scenarios data can be mapped onto floor and roof plans or even in 360-degrees.

Recommended actions are managed using the job functionality within AltoSites. In-built alerting and reminders ensure nothing gets missed and helps managers keep on top of delegated works.

This also means that it’s easy to check on the status of an area or asset in terms of the asbestos risk. Extremely important from a Health and Safety perspective!

 A graphical dashboard summarises information into bite sized chunks making it easy to see and quick to action.

Graphical representation of priority risk assessment scores and material assessment codes makes it easy to identify the types of issues that have been identified. Drill down capability makes it easy to see the details and to focus on recommended actions.

Recommended actions can also be drilled down into to ensure that they’re being undertaken. Where needed these also show any jobs being undertaken e.g. by specialist contractors.

Summary reports provide ways for users to present the data how they want to see it, export it into other formats and share it as needed to others who may not have access to AltoSites.

From asbestos survey to asbestos recommended actions

With the above in place our users have a great way to manage their asbestos data and to bring asbestos actions into line with other actions and work taking place whether that’s on a single site or multiple sites.

And asbestos surveys are just one of the types of inspection that AltoSites helps our users keep on top of.
